The phone rings, and the screen already knows them.
When a customer rings your office, DispatchMe shows a card on the dispatch screen before you answer: who it is, how many trips they've taken, where they usually go, and anything to watch for. Booking their usual trip is one tap, not two addresses typed while they wait.
Caller ID works once your office's phone line is connected to DispatchMe. We connect it for you.
How a call becomes a booking.
- 1
The call comes in
It rings through to your office's phones as normal. At the same moment the caller's card appears on every open dispatch screen, with a ring sound. - 2
You see who it is
Name and number, how many trips, any company account, and flags such as a past no-show or money owed. - 3
One tap to book
Tap their usual trip or Repeat last trip, and the booking form opens with the addresses filled in. Or start a new booking for them. - 4
Logged either way
The call goes in the call log: booked, answered with no booking, or missed. Missed calls are the ones to ring back.
What the caller card shows.
- Name and UK-formatted number, or New caller if you don't know them
- How many trips they've taken with you, and their last three
- Their usual trip, with how many times they've taken it
- VIP star, company account, and whether they use the passenger app
- Flags to watch for: a past no-show, money owed, an account on hold, a low rating
- If they're on a job right now, which job and which driver, so you can answer "where's my car?" straight away
- Your notes on the passenger
Up to three at once
When several people ring at once, the cards stack, up to three, so nobody is lost while you're on another line. Not a booking closes a card.A call log that shows what each call turned into.
| Filter | What it shows |
|---|---|
| All | Every call to your office line, newest first. |
| Missed | Calls nobody answered, each with a Ring back button. |
| Booked | Calls that became a booking, with the booking. |
| Answered, no booking | Calls you took that didn't turn into a job. |
It's a quick way to see the work you're losing: missed calls in a busy hour are fares that went to someone else.
Connecting your line.
Caller ID needs your office's calls to come through DispatchMe. We set that up for you, and your calls ring through to the phones you already use. Email support@dispatchme.co.uk to get your line connected.
Until it is, everything else in DispatchMe works as normal, and the Calls screen says your line isn't connected yet.
Questions offices ask
What do I need for caller ID to work?
Your office's phone line has to be connected to DispatchMe. We connect it for you: email support@dispatchme.co.uk. Until it's connected, the Calls screen tells you so and nothing pops up.
Do my phones still ring?
Yes. The call rings through to your office's own phones, up to three numbers, while the caller's card appears on every open dispatch screen in your office.
What if the caller is new?
The card says New caller, with the number. Book new caller opens the booking form with the number already filled in.
What does the usual trip mean?
A journey the caller has taken at least twice, such as Home to the station. It shows with how many times they've done it, and one tap opens a booking for it with both addresses filled in.
Can I see calls we missed?
Yes. The Calls screen lists every call, with filters for missed calls, calls that became bookings and calls answered with no booking, and a Ring back button.
